Clokr is a time-tracking and scheduling service for businesses that manage hourly staff. This policy explains what information Clokr collects, how it is used, and the choices you have. When a business uses Clokr to manage its team, that business decides what data to enter and how it is used — Clokr processes that data on the business's behalf as its service provider.
Information we collect
- Account information — the business owner's name, email, and login credentials.
- Employee information — name, a personal PIN, and optionally email, phone, job position, and pay rate, as entered by the employer.
- Time records — clock-in and clock-out times, breaks, and schedules.
- Location — when an employer turns on location verification, a device's coordinates are collected only at the moment of clock-in or clock-out to confirm the employee is at the workplace. Clokr does not track location continuously or between punches.
- Clock-in photos — when enabled, a photo may be captured at clock-in or clock-out as an attendance record. This is a simple photo attached to the punch; it is not facial-recognition matching.
Clokr does not collect or store Social Security numbers, I-9 or W-4 forms, direct-deposit or bank details, or signed employment documents.
How we use information
Information is used to provide the service: recording hours, calculating pay, building schedules, tracking attendance, sending work-related notifications, and supporting the employer's payroll. We do not sell personal information, and we do not use it for advertising.
When a POS is connected
If a business connects a point-of-sale system (such as Clover or Square), Clokr reads the business's own sales totals and staff list to show labor cost against sales. Clokr accesses only what the business authorizes and only for that business's account.
Sharing
Employee data is visible to that employee's employer. We share information only with service providers that help us run Clokr (such as hosting, database, and email delivery), and only as needed to operate the service, or when required by law. Payment card details, when subscriptions are paid by card, are handled by the payment processor — Clokr does not store full card numbers.
Data retention
Time and pay records are kept as long as the employer needs them for payroll and tax purposes. Employers can archive employees to preserve records, or request deletion. When a business closes its account, its data is deleted within a reasonable period unless retention is required by law.
Security
Data is transmitted over encrypted connections and stored with access controls. No system is perfectly secure, but we work to protect the information we hold.
Your choices
Employees can ask their employer to review, correct, or delete their information. Business owners can manage or export their data inside Clokr, or contact us for help. Location verification and clock-in photos are optional features the employer controls.
Children
Clokr is a workplace tool for employees and is not directed to children.
Changes
We may update this policy from time to time. Material changes will be reflected by the date above.
